Employer Notifications

Employer Payroll Debit Receipt

Check has a compliance requirement to inform employers of payroll debits, either by directly communicating or ensuring communication is sent from our partners.

If you want to opt out of the Communication, reach out to your partner support team to provide documentation of your communication to employers. If you opt in to the Communication being sent, we will send an email to the owner and all payroll signatories on file for the company.

The Debit Receipts Notification is triggered when Check successfully processes a payroll debit from an employer. It includes several key pieces of information.

  • The payroll receipt number
  • When the money was debited from the employer's account
  • The pay date
  • How much money was debited from the employer's account
  • The financial details of the payroll run, including employee taxes, company taxes, gross worker pay, and net worker pay
  • The remaining amount of money due in the payroll via manual payments

This notification is not triggered if an employer debit is attempted but failed. In that instance, a different notification type is triggered.

Ready to Run Payroll

The ready to run payroll Notification is triggered the 1st time that an employer passes all of the requirements to run their 1st payroll. These requirements include:

  • All required tax information is set up
  • All required employee information is set up
  • Fraud and credit risk checks are passed
  • A bank account is verified for funding payroll

The Communication includes several key pieces of information.

  • The company name
  • Expected 1st payday
  • Payroll approval deadline for expected 1st payday

This Notification only references the Employer requirements to run payroll. Workers may still be in a blocked state and running payroll that includes a blocked worker is not possible.

Employer Payroll Debit Failed

This Notification is triggered when Check attempts to process a payroll debit but the attempt fails. This failure can be due to many different reasons, such as insufficient funds, invalid account numbers, closed account, etc.

The Communication includes several key pieces of information.

  • The company name
  • The date of when the debit failed
  • The failure message we received from the customer’s bank
  • The last four digits of the bank account that we attempted to withdraw payroll from
  • Message to reach out to customer support to avoid delaying payroll

This Notification is only triggered immediately after we receive an event that the payroll debit attempt failed from the employer’s bank. If the attempt is successful the Employer Debit Receipt Notification is triggered.

Employer Bank Account Validation Failed

The employer bank account validation failed Notification is triggered when an employer attempts to add a new bank account but the validation fails. Validation primarily fails when a routing or account number is entered incorrectly.

The Communication includes several key pieces of information.

  • The company name
  • Last 4 digits of the bank account number that failed validation

If an employer receives this email, then the bank account is not eligible to be used to fund payroll. The employer must either correct the issue and resubmit the account for validation or use a different bank account to fund payroll.

Clicking “Fix now” will navigate the employer to the Connect Bank Account component so that they can add a new bank account.

Tax Collection Variance Debit Scheduled

The tax collection variance debit scheduled Notification is triggered when Check detects that an additional tax payment is required because of variances between the amount of taxes already paid to applicable jurisdictions and what is owed. This Notification is sent several days before a tax collection variance debit will be attempted by Check.

The Communication includes several key pieces of information.

  • The company name
  • The receipt number
  • The scheduled date of the tax collection variance debit
  • The remaining taxes to be collected, broken out by tax type
  • The total amount of the tax collection variance debit

This Notification only indicates an upcoming tax collection variance debit. The employer will receive the tax collection variance debit received notification upon a successful debit attempt.

Tax Collection Variance Debit Receipt

The tax collection variance debit received Notification is triggered when immediately after tax collection variance debit successfully settles.

The Communication includes several key pieces of information.

  • The company name
  • The receipt number
  • The date that the tax collection variance debit settled
  • The remaining taxes collected in the tax collection variance debit, broken out by jurisdiction
  • The total amount of the tax collection variance debit

If you are opted in to the tax collection variance debit scheduled Communication then prior to receiving this notification, the employer will receive an email alerting them of the upcoming debit attempt.

Worker Notifications

Worker Bank Account Validation Failed

The worker bank account validation failed Notification is triggered when a worker attempts to add a new bank account but the validation fails. Validation primarily fails when a routing or account number is entered incorrectly.

The Communication includes several key pieces of information.

  • The first name of the person that attempted to add the bank account
  • Last 4 digits of the bank account number that failed validation

If a worker receives this email, then the bank account mentioned is not eligible to receive direct deposits. They should correct the issue and resubmit the account for validation, request payment by paper check, or update direct deposit to use a different bank account.

Clicking “Update bank account” will navigate to a Check component that allows them to provide a new bank account for direct deposits.

Worker Direct Deposit Failed

This Notification is triggered when Check attempts to send an instant payment direct deposit to a workers account but the attempt fails. This failure can be due to many different reasons, such as bank issues, invalid account numbers, system failures, etc.

The Communication includes several key pieces of information.

  • The first name of the person being paid
  • Explanation of when funds will arrive

This Notification only sends if an instant direct deposit is attempted and fails. If employer payroll debit fails prior to the worker direct deposits being initiated, then the worker will not receive a Communication.
